The My Documents feature allows participants, coaches, and admins to upload and share documents within a specific journey in Momenta. This article outlines how to set it up, what participants will see, and how to manage document workflows effectively.

Overview
- Documents are journey-specific and only accessible to users enrolled in that journey
- Files are shared across Admin, Coach, and Participant views
- Available only for journeys connected to CoachOS (not supported in non-coaching journeys)
- Max file size: 50MB
- Supported file types include:
doc, docx, pdf, png, jpg, xlsx, mp3, mp4
and more
Add My Documents to a Journey
- Go to Journey Configuration → Nav & Page Builder
- Drag My Documents into the menu (left → right panel)
- Reorder as needed
- Click Save and Publish the journey
Note: This must be done on a per-journey basis. It is not applied client-wide.
Cohort Setup (Momenta + CoachOS)
Ensure the journey has an associated coaching program and cohort set up in both:
Participant Access & Uploads
- Access “My Documents” tab within their assigned journey
- Upload documents for their coach or admin to see
- View/download/delete their own files
- Will see a red notification bubble if a new file was added by a coach or admin
Coach Access & Uploads
- Go to My Coachee page in CoachOS
- Choose the correct Pathway
- Go to the Documents tab
- Upload a file, view/download existing files
- Can only delete files they personally uploaded
Deleting a document removes it for everyone.
Admin Access & Uploads
CoachOS Admins
- Upload to individual pathways or entire cohorts
- Manage file visibility and download access
Momenta Admins
- Upload/delete files for individual participants via their Participant Data tab
- View document presence across cohort from the participant list
Notifications
- Participants receive in-app alerts (bubble icon)
- Admins can enable email notifications via CoachOS (optional)
- Coaches/Admins do not receive alerts when participants upload documents
Tips:
- Use helper text in your journey to guide participants on uploading documents
- Encourage participants to notify their coach if uploading a file for review
Watchouts & Considerations
- Journey-Specific: Documents do not carry over between journeys
- Cohort Matching Matters: Uploads must target the correct cohort or journey
- Deletion is permanent: Removing a file deletes it for all users
- Ownership restrictions: Coaches/Admins can only delete what they uploaded
- 50MB limit: Per file. Larger uploads will fail
- No email alert to Coaches/Admins: Establish your own workflow to monitor uploads
- Only available on CoachOS-integrated journeys
- Resetting participant data deletes files
