Coach OS and Momenta Integration Breakdown

This article explains how Momenta integrates with Coach OS to enable seamless coaching session creation, participant syncing, and data reporting. With Momenta as Journey Creator and Momenta as User Creator, you can configure journeys and cohorts without duplicating effort between systems.

Integration Overview

Momenta and Coach OS are integrated to deliver scalable scheduling for 1:1s, pods, and workshops. This setup allows you to:

  • Build the journey and session structure in Momenta
  • Auto-sync that structure to Coach OS
  • Auto-create users in both systems during upload
  • Track attendance and session metrics via dashboards


Creating the Journey & Session Booking

Step 1: Create Journey in Momenta

  1. Go to Client Collection → Create folder (optional)
  2. Select Add New → Create New Journey

Step 2: Add a Session Booking Activity

  1. Create a Module inside a Stage
  2. Click module three-dot menu → Add Activity
  3. Select Session Booking as the activity type

Step 3: Configure Session Booking

  • Activity Title: Shown to participants and on invites
  • Virtual?: Enables Zoom/Teams integration via Coach OS
  • Session Type:
    • Face-to-Face
    • 1:1
    • Open Pod
    • Closed Pod
  • Expected Duration: Defines meeting time

Step 4: Save & Publish

  • Click Save for each activity
  • Then click Publish Journey once setup is complete


Sync with Coach OS & Cohort Creation

Once the journey is published in Momenta:

  • A Program is auto-created in Coach OS using the journey name
  • A Project is also created under the same client name

Next, create a cohort in Coach OS:

  1. Go to Cohorts in Coach OS
  2. Click Create Cohort
  3. Fill in:
    • Project
    • Cohort Name
    • Program Managers
    • Finance fields (ERP, Maconomy, Project ID)
  4. Disable tag groups and unnecessary mailers
  5. Click Create


Create Cohort in Momenta

  1. Go to Client Collection → Open journey
  2. Click three dots → Manage Cohort
  3. Create a new cohort and configure:
    • Cohort Title
    • Start Date
    • Cohort Enabled: ON
    • Create Coach Users: ON
    • Coach Cohort: Link to Coach OS cohort
    • Default Coach: Assign fallback coach for uploads
  4. Click Save

Now when users are uploaded, they will be created in both platforms automatically.


Bulk Upload Participants

Use the standard bulk upload process in Momenta. See How to Bulk Upload Participants for full steps.

If “Create Coach Users” is enabled, the system will automatically create participants in Coach OS with correct mapping.


Coach OS Reporting

With Program Manager permissions in Coach OS:

  1. Go to app.btscoach.com
  2. Open the sidebar → Click Reports
  3. Download:
    • MI Report / MI Report v2
    • Wide CSV Report (most common)
