Setup a Custom Dashboard

Custom dashboards in Momenta are built on Power BI by the BTS Data Team. Unlike the Standard Dashboard, a Custom Dashboard can be tailored to client-specific needs, tracking activity completions, user behavior, and response-level analytics across journeys. Dashboards are requested via data.support@bts.com.

How to Enable Dashboard Access

  1. Add the user to the relevant cohort in Momenta
  2. Navigate to Participants → Search by name or email
  3. Click Edit → go to Participant Permissions
  4. Select the journey from the dropdown
  5. Assign the following roles:
    • Facilitator (required for dashboard access)
    • Report Reviewer (unlocks analytics view)

Note: If the user is in multiple journeys under a single client, assign both roles in every journey for access to function correctly.


Default Dashboard Pages

Filters

  • Select Journey
  • Select Cohort
  • Select Team
  • Optional: Select Pathway (group of related journeys)

Dashboard Overview

  • User logins by session and time of day
  • Device usage (iPhone, Android, Windows, etc.)
  • Top activities by time spent
  • Time zone distribution
  • Registered vs Active vs Completed participants

Track User Progress

  • Stage/Module/Activity level tracking
  • Bar graphs of completions vs in-progress
  • Filterable lists of active/inactive users

Data Exports

  • Registered Participants – Name, email, cohort
  • Participant Actions & Go-Dos – Commitment status & details
  • Status at Activity Level – In Progress or Completed
  • User Responses – All inputs across the journey


Dashboard Customization Process

To request a fully custom dashboard, the following must be in place:

  1. Journey Finalized: No further changes to structure or questions
  2. Desired Insights Defined: What metrics the team wants to show
  3. Dummy Data Entered: Must have test users to generate analytics

Custom Build Workflow

  1. Submit Request: Email data.support@bts.com and schedule a scoping meeting with a Momenta Consultant
  2. Mock-Up (1–2 weeks):Create dashboard layout using Miro, include:
    • Page layouts
    • JSIDs for response fields
    • Desired logic or formulas
  3. Data Team Review: Feasibility check (tech limitations, structure)
  4. Project Team Review: Approves layout, suggests revisions
  5. Revision Round (1 week): Apply project team feedback
  6. Final Approval: Confirm final design with Data Team
  7. Production (1–2 weeks): Data Team builds in Power BI
  8. Review Period (1 week): Project team reviews & comments in Miro
  9. Final Revisions (1–2 weeks): Last round of updates
  10. Go Live: Grant access to stakeholders

Reminder: The project team is responsible for reviewing, approving, and communicating dashboard changes to the client.
