Custom Dashboards

Custom Dashboards in Momenta are created upon request by the BTS Data Team via data.support@bts.com. These dashboards are built in Power BI and tailored to client needs, offering more specific insight than standard dashboards. This article outlines how to enable access, what data is included by default, and how to customize your dashboard.


Enabling Access to a Custom Dashboard

  1. Add the user to the relevant Momenta cohort.
  2. Go to the user’s Participant Permissions page.
  3. Assign the following roles:
    • Report Reviewer – grants dashboard visibility
    • Facilitator – required to unlock dashboard access (user cannot be both Participant and Facilitator)
  4. Repeat this process for every journey the user is assigned to under the same client.
  5. Use the journey filter dropdown to verify and update permissions across all journeys.


Default Dashboard Pages

Default Filters (Available Across All Pages)

  • Select Journey
  • Select Cohort
  • Select Team
  • Optional: Select Pathway (group of related journeys)

Dashboard Page (Overview)

  • User logins by session/date
  • Device usage (desktop/mobile/browser type)
  • Top activities by time spent
  • Login trends by hour
  • Time zone breakdown
  • Registered vs Active vs Completed users

Track User Progress

  • Visual progress by stage/module/activity
  • Active and inactive users per item
  • Completion tracking across the journey

Clicking on a module or activity updates user lists in real time.


Data Exports

You can export raw or filtered data directly from the dashboard by clicking the three dots next to each visual and selecting Export Data. Available exports include:

  • Registered Participant Details – Name, email, cohort
  • Participant Actions & Go-Do Details – Activity-level commitment info
  • Participant Status at Activity Level – Completion vs in-progress
  • Participant Responses Across Journey – Full answer export by user


Customizing a Dashboard

Requirements Before Requesting Customization

  1. Journey Finalized – All questions, participants, and logic must be stable
  2. Desired Insights Identified – Project team has a clear vision of what to track
  3. Dummy Data Entered – Test users or seeded data must be available

Step-by-Step Customization Process

  1. Initial Request: Email data.support@bts.com and book a scoping call with the Data Team + Momenta Consultant.

  3. Mock-Up (1–2 Weeks):Create a draft dashboard in Miro with:
    • Page layout
    • JSIDs (journey IDs)
    • Desired filters and logic
  4. Data Team Review: Feasibility check — can Power BI support what’s outlined?
  5. Project Team Review: Discuss goals and adjust based on feedback.
  6. Revision (1 Week): Final updates and alignment with Data Team.
  7. Final Review: All parties sign off on mock-up before development begins.
  8. Production (1–2 Weeks): Data Team builds the dashboard.
  9. Dashboard Review (1 Week): Feedback cycle begins in Miro.
  10. Revisions (1–2 Weeks): Updates made as needed.
  11. Final Delivery: Access granted to stakeholders once approved.

Reminder: The project team is responsible for managing client expectations and reviewing drafts. The Data Team supports technical feasibility and build execution.
