Bates ExPI™ is a validated, GDPR-compliant, 360° multi-rater assessment that measures 90 behavior-based indicators of executive presence and compares leader self-perception to feedback from key rater groups. It supports coaching, development planning, and group insights.

Overview

The ExPI™ evaluates executive presence via confidential surveys completed by the leader, manager, peers, and direct reports. Outputs include an individual report and optional group analytics for cohorts

Full Version (with 75-min Insights session)

  • Booking: Participant books Insights in Momenta; Ops adds the session date in the Bates platform
  • Report release date: set to 5 days before the Insights session (update when adding the session)
  • Development Worksheet (DSW): participant completes and sends to coach ≥24 hours pre-session
  • Timeline: allow ~4 weeks for assessment completion + ~4 weeks for Insights scheduling
  • Confidentiality: do not disclose rater-group completion to stakeholders


Watchouts & Considerations
  • Bates platform runs on ET (not configurable) — set session/report dates accordingly
  • Reports won’t auto-release if Self or Manager surveys are incomplete. You may force-send to participant (Self required) and then coach


@Scale Version (self-directed)

  • No rater upload, no email customization, no tracking from BTS admin; status cannot be downloaded
  • Default reminder cadence is sent from Bates; advise participants to ignore visible sender addresses in system emails
  • Only share high-level updates if agreed (e.g., self completed, Insights booked, worksheet submitted)
  • Provide at least 4 weeks to complete the assessment


Enablement & Project Ops Setup

  1. Plan timeline: ~4 weeks for ExPI; 2+ weeks for Insights.
  2. Licenses & access: email Angela Richards to request admin access and an initial pool of licenses; top up as needed
  3. Bulk upload: use the participant upload sheet and include location data
  4. Coaches: allocate and input availability in Coach OS; assign coaches in Bates (required for report sharing)
  5. Systems: add participants to Momenta (journey) and to the Bates platform
  6. Dates: set Insights session date and the report release date (–5 days) in Bates
  7. Track (internally): DSW completion and Insights completion; do not share rater-level completion externally


Note on coaches list: some coaches appear twice (e.g., “bts” suffix) due to independent practice vs. BTS association; this is expected


Contractor Coaches (NAM/E&TP)

When NAM associate coaches or E&TP partners are needed to conduct Insights, complete the “Contractor Request” form: Smartsheet Form


Automatic Notifications & Rules

All automated emails are sent at 5:00am ET

  • Rater Nomination Reminder: to participant 1 day before nomination due date (if not submitted)
  • Survey Reminder: to all incomplete raters 2 days before survey due date (cohort-level date overrides participant-level)
  • Insufficient Returns: to participant & admin 3 and 2 days before report date; links to completion snapshot page (red = below minimum). Individual responses are not disclosed
  • DSW Reminder: to participant 2 days before Insights date/time
  • DSW Submitted: to admin and coach upon participant submission

Auto-release rule: Reports do not auto-send to participant/coach if Self or Manager surveys are incomplete. You may force send to the participant (Self required; Manager optional) and then to the coach


Generating a Group Report

  1. In the Bates Dashboard, click the gear icon for your cohort → Add to Group Report
  2. Click Generate Reportto download the Excel with five tabs
    • GroupSummaryReport — frequency of Top 5 / Bottom 5 facets.
    • FacetSummary — for line charts.
    • ItemMeans — highest/lowest items.
    • ItemPercentFavorable — optional.
    • Facet Summary — overall scores by group.


Presentation Tips
  • Use GroupSummaryReport to visualize facet frequency (Top/Bottom 5) for the cohort.
  • Use FacetSummary to create a cohort line chart; ItemMeans to show top/bottom items
