Learn how administrator permissions work in Momenta — including global roles, collection-level roles, and how access impacts authoring, publishing, and support capabilities.
Overview
Permissions in Momenta determine what a user can view, edit, configure, or publish across different client and standard collections. There are two core levels:
- Global Roles: System-wide permissions granted by Product or Support Teams.
- Collection Roles: Assigned per client or standard collection to control local access.
Global Permissions
Global roles are visible in Momenta Admin > Admin Options > Permissions.
- Global System Administrator: Full visibility and edit rights across all collections. Can assign others to collections.
- Global Developer: Limited access for BTS developers to test, troubleshoot, and support.
Note: Most users will have no Global roles ticked unless explicitly needed.
Collection-Level Permissions
These determine what a user can do within a specific collection (client or standard). Permissions are managed from the same Admin Options > Permissions panel.
- Hover over a collection to see assigned roles.
- Click “View” to open a breakdown of permissions for that collection.
- Admins can edit roles only if they are Global Sys Admins.
Collection Roles & Matrix
There are 8 standard collection-level roles:
- Collections Owner: Full rights on assigned object (e.g., journey or master collection)
- Author: Can build and edit content objects
- Journey Success Manager (JSM): Configures journeys, participants, and schedules
- Support: Helpdesk or tech support staff
- Test User: Has testing access to journeys/content only
- Account Manager: Lead client contact (non-technical)
- Content Reviewer: Reviews authored content but cannot edit
- Collection Administrator: Internal ops support — project resourcing & tracking

Updating or Removing Access
Only Global System Admins can assign or remove user roles in a collection.
- Go to the user’s profile via Admin Options > Permissions.
- Click “View” next to the collection.
- Use checkboxes to update assigned roles.
- To delete the user from the collection, use the trash can icon.

Watchouts & Considerations
- Only Global System Admins can assign or remove collections from a user profile.
- Global roles override local permissions — if you’re a Global Sys Admin, you don’t need collection-level access granted manually.
- If a user is missing access to a journey or tool, first verify whether they are assigned to the collection.
- Do not assign roles like “Test User” or “Support” unless necessary — they grant broader content visibility.
