Find A User on the System

Step-by-step instructions for finding and managing user records in Momenta, including profile data, cohort/team assignments, permissions, and notification history.



Overview

Use this guide to search for individual participants in Momenta and manage their access. You can:

  • Find a participant by name or email
  • View/edit user details and timezone
  • Reset passwords
  • View cohort/team assignments
  • Check notifications received or scheduled
  • Manage participant permissions (e.g. Facilitator, Report Reviewer)


  1. Go to the Participants tab on the Momenta Admin home page.
  2. Select the relevant Client Collection (users are stored by client).
  3. Search by first name, last name, or email (you cannot search by full name).
  4. If found, click Edit on the far right to open the user’s profile.


Viewing the Participant Profile

In the participant’s profile view, you can see:

  • Name, email address
  • Country, region, time zone
  • Password reset options

You can also update the user’s profile information or reset their password from this screen.


Checking Journey, Cohort, and Team Assignments

  1. Click on the Journeys & Data tab.
  2. Click on All to see all assigned journeys.
  3. Select a journey to view:
    • Cohort and Team assignment
    • Direct links to the cohort or team setup


Viewing Participant Notifications

Select the Notifications tab on the user profile to view:

  • All notifications the participant has received
  • Notifications scheduled specifically for that user (not cohort- or journey-wide)


Managing Permissions

At the bottom of the user’s profile, you’ll see a Permissions Matrix by journey.

  • Use the dropdown to switch between journeys (within the same client)
  • Check or assign participant, facilitator, or reviewer roles
  • Assign dashboard/report access as needed


Watchouts & Considerations

  • If you see "No cohort available", refresh or reselect the journey—it may take a moment to load.
  • A user can only belong to one cohort per journey.
  • Always select the correct client folder when searching for participants.
