Coach OS Overview

This article provides an overview of the Coach OS platform, BTS’s backend system for managing 1:1 coaching, pod sessions, scheduling, and communications. It explains the system's core architecture, integration with Momenta, and dashboard functionality.


Introduction & Purpose

This page introduces the Coach OS platform—BTS’s backend system for managing coaching programmes. It covers scheduling, communications, payments, pod/1:1 session support, and integration with Momenta.


What is the Coach OS?

Coach OS is a participant and coach management system used to:

  • Schedule sessions and manage calendars
  • Facilitate participant communications
  • Administer coach payments
  • Track engagement and attendance
  • Support pod and 1:1 session types
  • Integrate with Momenta for multi-platform solutions


Coach OS Architecture

The hierarchy of Coach OS is structured as follows:

  1. Company: The client entity.
  2. Project: Created under a Company.
  3. Cohort(s): Groups of participants linked to a Project.
  4. Users: Individual participants uploaded into a Cohort.
  5. Pathways: Individual journeys for each User, pulling activities and content from the Programme. Users can have multiple pathways.



Integration with Momenta

  • Journeys with coaching in Momenta automatically create a linked Programme and Project in Coach OS.
  • Programmes are the equivalent of Journeys on Momenta.
  • Projects exist in Coach OS but have no Momenta equivalent.
  • Cohorts must be created in both Momenta and Coach OS.
  • Users must be uploaded in both systems for full integration.
  • Synced elements are visually marked:
    • Momenta icon in Coach OS
    • Coach icon in Momenta



Coach OS Dashboard

When you log in, the default Dashboard displays:

  • Recent Work: Last visited pages
  • Users: Search participants by name or email
  • Cohorts: Search, pin, and quick access to cohorts


Customizing the Dashboard

Beyond the defaults, you can customise your dashboard by adding up to three additional quick-access blocks.



Coach OS also includes navigation menus:

  • Left collapsible menu: Administrative options and pinned cohorts
  • Top menu bar: Includes Coaches, Dashboard, Programmes, Events, and—if permitted—the Coach UI (participant-facing view)
