How to Add a Company

Overview

This article explains how to manually add a new Company (client) to the Coach OS platform for non-Momenta coaching journeys. Companies serve as the top-level container for Projects and Cohorts.

Use this process only when the journey is not built via Momenta, as Momenta-synced programs auto-generate Companies automatically.

Step-by-Step Instructions

Step 1: Check if the Company already exists
Navigate to the Companies tab and search for the company name to ensure it hasn’t already been added. Avoid creating duplicates.
Step 2: Create a New Company
Click Create New Companyfrom the Companies page or from the dropdown next to the Companies button on the dashboard. Enter:
  • Company Name
  • Company Programme Manager (PM)
  • Optional: Add Contact People – client stakeholders who may need access to engagement data
Step 3: Add a Project from the Company Page (Optional)
Scroll to the bottom of the Create Company form and use the arrow dropdown beside the Create button to add a Project directly during setup.
Step 4: Configure Company Settings
Available configurations include:
  • Virtual Call Provider: Can only be changed at Company level. Default is Zoom. Email momentasupport@bts.com to switch to MS Teams and confirm coaches are licensed.
  • Missed Call/Rebooking Limits: These can be configured but are typically set at the Project or Cohort level. Tick the checkbox to enable editing.
Note: Changing the virtual provider only applies to newly booked sessions and does not retroactively update existing bookings.

Role-Based Guidance

Admins
Manage Company creation and contact configuration. Only Admins can change virtual call providers. Ensure all fields are accurate before saving.
Program Managers
Add yourself as the Company PM and double-check if Contact People are needed for dashboard access.

Watchouts & Considerations

  • Do not create Companies for Momenta journeys: These are auto-generated.
  • Check for duplicates: Always search for existing Companies before creating a new one.
  • Changing call provider: Only affects new bookings. Existing sessions will remain on the original platform (e.g. Zoom).
  • MS Teams setup: Confirm all coaches have licenses before requesting switch.
