Cronofy Integration

This article explains how to integrate Cronofy with Coach OS to sync multiple calendars (Google, Office365, Apple, etc.), prevent double-bookings, and ensure real-time scheduling accuracy for coaching sessions.


Introduction & Purpose

Cronofy is now integrated with Coach OS, allowing coaches to sync multiple calendars into a unified view. This removes manual updates, prevents booking conflicts, and provides live availability.


Use Case: A coach managing both a personal Google Calendar and a BTS Outlook calendar can sync both into Coach OS for accurate real-time scheduling.


Rollout: Launching July 28, 2025 for 1:1 coaches; full adoption targeted for September 5, 2025.

Detailed Instructions

  1. Access Cronofy Settings
    • Navigate to your Coach Dashboard.
    • Click the menu icon → Cronofy Settings.
  2. Add a Calendar Account
    • Select Add calendar account.
    • Choose your provider (Office365, Google, etc.).
    • Accept Cronofy’s Terms of Service.
    • Log in and authorise the connection.
    • Repeat to connect multiple accounts if needed.
  3. Set Working Hours & Buffers
    • Define start and end times.
    • Optionally add buffer time before/after sessions (e.g., 15 minutes).
    • Use the drag-and-select grid to set preferences.
  4. Book a Session
    • Go to the Pathway or Calendar view.
    • Select a 15-minute increment slot.
    • Coach OS automatically avoids conflicts across calendars.
    • White = available; Blue = busy/unavailable.
  5. Group/Pod Sessions
    • No need to pre-create a slot.
    • Agree a time with the coach and book via the Pod/Group Session interface.
    • Supports both 1:1 and Pod coaching.

  • Note: Program Managers and Ops should not assist with Cronofy setup—direct coaches to Support.


Watchouts & Considerations

  • Initial Sync: Setup is one-time; re-authenticate only if credentials change.
  • Buffer Gaps: Buffers reduce bookable time—check session length impacts.
  • Mailers: Confirm participants get the correct notifications (see Mailers Index).
  • Participant View: Coachees see only available times; conflicts are hidden.
  • Rescheduling: Managed in Coach OS or with the coach directly; standard mailers still apply.
