Coaches Calendar & Dashboard

This article provides an overview of how to use the Coach OS Coach Dashboard and Calendar to manage coach information, schedule or edit 1:1 and Pod sessions, and view coachee and cohort details. It is designed to streamline session logistics and ensure scheduling clarity across time zones.


Introduction & Purpose

This guide explains how to navigate the Coach OS Coach Dashboard and Calendar to manage coaches, sessions, and participant details. It covers time zone handling, booking workflows, attendance management, and coachee/cohort insights.


Please note as of the 1st of August 2025, all coaches should be integrated with Cronofy. To understand how to manage the coach calendar with Cronofy, please refer to this article: Cronofy Integration


Dashboard Overview

  • Add the Coach Search block to quickly look up coaches, including their timezone, currency, and main clients.
  • Alternatively, use the Coaches tab in the top menu.
  • Click the cog next to a coach’s name to access their Calendar, Coachees, Dashboard, and more.



Coach Calendar

  • The Coach Calendar displays all sessions, bookable slots, and availability.
  • If the coach is in a different timezone:
    • Green time = your timezone
    • Grey time = coach’s timezone
  • Coaches typically manage their own calendars, but you can open slots manually if required.
  • Click on a date/time to open a slot, adjust session length, and book 1:1 or Pod sessions.



Booking Sessions Through the Calendar

Steps to create and book a slot:

  • 1:1 Sessions
    1. Create a bookable slot (date, time, session length).
    2. Click Session to open the booking screen.
    3. Search for the coachee, select their name, and choose the relevant session.
  • Pod Sessions
    1. Click Grp on a bookable slot.
    2. Select the relevant cohort.
    3. Choose the Pod session to book.

Always confirm the date/time matches the participant’s timezone via the booking screen.



Session Management Through the Calendar

  • 1:1 Sessions:
    • Mark as Completed or Missed
    • Delete Booking
    • Add to my Calendar
    • Unmark as Complete (to reverse attendance)
  • Pod Sessions:
    • Mark attendance for each participant
    • Re-mark or Unmark attendance to adjust records



Finding a Coachee or Cohort

From the Coach Search block or Coaches tab, click the cog next to a coach’s name to access their assigned Coachees or Cohorts.


Coachees

  • See all pathways linked to a coach (active, archived, completed).
  • Filter by Company → Project → Cohort.
  • Use the “Filter active” drop-down to exclude inactive users.



Cohorts

  • See all cohorts assigned to a coach.
  • Click cohort name to open details.
  • View assigned programme managers, consultants, and user counts.


The Coach’s Dashboard

  • Lists the coach’s coachees and working hours.
  • Shows upcoming sessions via My Agenda.
  • Filter coachees by typing into the search box.
  • Access the calendar via Set your availability or view calendar.
  • Cancel sessions via the Actions button.


Watchouts & Considerations

  • Time Zones: Green = your timezone, Grey = coach’s timezone.
  • Bookable Slots: Sessions can’t be booked until a slot is created.
  • Pod vs 1:1: Ensure Pod sessions are linked to the correct cohort.
  • Manual Attendance: Update only when necessary—affects reporting.
  • Ownership: Coaches manage their calendars unless instructed otherwise.
