This article explains how to manage Booking Windows for 1:1 or Pod coaching sessions within a cohort. Booking windows control when sessions can be booked and are typically set at the cohort level to match the flow of a program or journey.

Step-by-Step Instructions

Step 1: Understand Booking Windows
A Booking Window defines the start and end period during which a session can be booked. It ensures sessions are aligned with program structure (e.g., post-workshop).

Windows can be customised per coachee if needed, with approval from the AM/client.
Step 2: Access the Booking Window Settings
From the Dashboard, search for either:
  • A specific user: Click their name > their cohort > cog icon > Manage Booking Windows
  • A cohort: Click the cohort name > cog icon > Manage Booking Windows
Step 3: Set or Edit Booking Windows
  • Use the dropdown to search and select the coachee
  • Click Search to view and edit booking fields
  • Booking Window From / To: Defines the eligible booking range
  • Booking Restricted Until: Blocks early bookings before a specific date
If left blank, there are no restrictions and participants may book any available session.

Role-Based Guidance

Admins & PMs
Responsible for configuring and adjusting booking windows in line with journey structure and client approval.
Coaches
Typically do not manage booking windows but should understand how they influence participant scheduling.

Watchouts & Considerations

  • Cohort Variance: Watch for multiple start dates within a cohort—set booking windows for each variant.
  • Client Approval: Always confirm changes with AM/Ops or client team before updating windows.
  • Blank Fields: Leaving window fields blank removes all booking restrictions.
  • Restricted Until: Useful for locking booking until prerequisite content is completed.
