Overview
This article outlines how to use the Coach OS Coach Calendar and Dashboard to schedule, update, and manage 1:1 and Pod sessions, as well as access coachee and cohort information. Designed for easy timezone navigation and session efficiency.
Step-by-Step Instructions
Step 1: Search for a Coach
Use the Coaches tab or add the Coach Search block to your dashboard. View timezone, client list, and currency.
Click the cog beside a coach's name to access their Calendar, Coachees, Cohorts, or Dashboard.

Step 2: Use the Coach Calendar
The calendar shows all sessions and availability. Green time = your timezone. Grey = coach's timezone.
- Click on a date/time to open a slot
- Edit session length
- Book 1:1 via Session or Pod via Grp
Step 3: Manage Sessions
Hover over a session and click Actions to:
- 1:1s: Mark as Completed, Missed, Delete, or Add to Calendar
- Pods: Mark attendance, Re-mark, or Unmark participants
Step 4: View Coachees & Cohorts
- Coachees tab: View all pathways (active, completed, archived). Filter by Company > Project > Cohort
- Cohorts tab: See cohorts assigned to coach. Access pathway counts and assigned PMs
Step 5: Coach Dashboard Features
- Filter coachees by typing name
- Set availability or view calendar
- Manage sessions under My Agenda

Watchouts & Considerations
- Time Zones: Green = your time. Grey = coach’s time.
- Bookable Slots: Sessions can’t be booked without an open slot.
- Pod vs. 1:1: Make sure session type and cohort are correctly matched.
- Manual Attendance: Only update if absolutely necessary; this impacts reporting.
- Coach Ownership: Coaches manage their own calendars unless otherwise agreed.
