This article introduces the Coach OS platform — BTS’s backend system for managing coaching journeys, scheduling, and communications. It outlines system architecture, key navigation areas, and integration with Momenta.

What is Coach OS?
Coach OS is a coaching and participant management platform used to:
- Schedule and manage 1:1 and Pod sessions
- Send mailers and communications
- Track engagement and attendance
- Administer coach payments
- Integrate with Momenta for linked learning journeys
Coach OS Structure
The platform uses a nested structure:
- Company: The client entity
- Project: Initiative or solution linked to that company
- Cohort: Group of participants under a project
- User: The individual participant
- Pathway: The user's personalised learning journey
Each pathway pulls in content from the Programme and tracks sessions and engagement at the user level.
Integration with Momenta
The Momenta-Coach OS integration happens at the Programme and Projectlevel.
- When a journey with coaching is created in Momenta, a linked Programme and Project are auto-created in Coach OS.
- Cohorts must still be created in both platforms.
- Participants and their pathways must be uploaded to both Coach OS and Momenta.
- Synced elements are marked with:
- Momenta icon inside Coach OS
- Coach icon inside Momenta
Coach OS "Programmes" = Momenta "Journeys"
Coach OS "Projects" = no direct Momenta equivalent
Dashboard Navigation
The main dashboard includes:
- Recent Work: Quick access to recently viewed items
- Users: Search by participant name or email
- Cohorts: Search or pin cohorts for quick access
- Left menu: Admin tools + pinned cohorts
- Top menu: Coaches, Programmes, Events, and (if permissioned) Coach UI access

Set up Companies, Projects, Cohorts, and control Coach-Momenta linkage. Configure dashboards and user access.

Watchouts & Considerations
- Programmes = Journeys: In Momenta, the equivalent of a Programme is a Journey. Projects do not have a direct equivalent.
- Manual sync steps: Cohorts and user uploads must be done separately in both platforms.
- Momenta icons: Use icon indicators to validate which entities are correctly linked between platforms.
- Do not assume auto-creation: Check every project/cohort relationship before upload.
